Policies and Procedures

Registration

Before you register, inquire about our refund policies, and clarify any questions you have regarding your ability to participate in the activity.

Participants may sign up for all trips and weekly activities beginning  the first day of class each semester.

Registrations are only done at the Outing Rental Center, located at 130 South Linden Street. We are open Monday – Friday from 11am – 6pm.

The OAP will not register anyone over the phone.

Please update your e-mail, telephone, and mailing address at the time of registration as this is how we will contact you about the trip.

Trip registrations close the Tuesday before the trip.

We accept Visa, Mastercard, and check only. NO CASH!


Who is eligible?

OAP trips are open to all VCU students and Rec Sports members (Faculty, Alumni, and Plus One).  Membership status must be active at the time of registration.  VCU students and Rec Sports members who are participating in an OAP activity may 'sponsor' one friend or family member to join them on the same trip.


Activity Rating Scale

To assist you in selecting from our trip offerings, we rate our courses on a subjective scale of difficulty. If you have any questions please call us at 804-828-6004 or e-mail: outdoors@vcu.edu

Beginner - No prior experience necessary; low to moderate physical activity

Intermediate - Prior experience in the topic area recommended; moderate to strenuous physical activity

Advanced - Prior knowledge required; strenuous physical activity

What is included?

All trips and activities include transportation, equipment (tents, stoves, sleeping bags, pots & pans, etc...), entry fees/permits and guided instruction by our trained outdoor trip leaders. If you would like to bring your own equipment it must be approved by the trip leaders prior to departure.

Overnight trips and activities include most meals.  Participants may need to buy dinner on the road the first and last days of the trip.  For all other trips, participants will need to bring their own lunch and snacks.


Trip Leaders

OAP trip leaders are students with a passion for the outdoors and a desire to share it with others.  All of our trip leaders have received over 200 hours of training through our Student Outdoor Leadership Experiences (SOLE) program.  In addition, all overnight wilderness outings include at least one guide who has completed an advanced course in wilderness medicine.


Alcohol and Illegal Substances

OAP activities are sanctioned VCU events.  Therefore, in accordance with the campus’s Alcohol and Drug Policy, alcohol and illegal substances are not permitted on OAP trips and activities.  Furthermore, alcohol and illegal substances become a safety issue on adventure activities.  An altered mindset is a safety issue for the entire group and is not tolerated. We appreciate your cooperation.


Risk Management

Risk management is a major part of all OAP activities and it is the responsibility of everyone on the trip.  Please don't make it harder for us.  Wilderness travel has inherent risk of injury or death. As a trip participant, you are responsible for your safety. We encourage everyone to have a great time, but please be careful.


Pre-Trip Meetings are Mandatory

Certain activities require attendance at a pre-trip meeting. Information shared at these meetings is important for your enjoyment and safety in the activity. The OAP staff will notify all participants via email and phone if a pre-trip meeting is required.

If you are not able to attend the pre-trip meeting you must communicate with your guides in advance to be sure that you have all necessary information.  Contact:outdoors@vcu.edu

Failure to attend this meeting with no prior notice may result in loss of trip fees and inability to participate in the activity.


Cancellations

The OAP reserves the right to cancel any trip or activity due to low enrollment, inclement weather or other unforeseen circumstances.  If your personal contact information is not updated by you at the time of registration the OAP assumes no responsibility for notifying participants of trip/activity cancellations or postponements. In the event a trip must be cancelled, a full trip refund will be provided.


Refunds

Before you register, inquire about our refund policies, and clarify any questions you have regarding your ability to participate in the activity.

There are no refunds for trips, unless the trip is cancelled by the OAP, or a participant experiences an unforeseen family or medical emergency. In the latter instances, the decision for a full or partial refund will be made by the Assistant Director of the Outdoor Adventure Program. All refund requests must be submitted in writing prior to the trips departure. Supporting documentation may be requested.

If a participant must cancel on a trip or activity, 10 days are required before the trip departure date. The OAP will only provide credit toward another Rec Sports activity, registration or rental. Participants may transfer registration to another eligible trip so long as the transfer occurs more than 10 days prior to the trip departure date

Any trip canceled by the participant within 10 days will not receive any credit and is ineligible for trip transfers.
